POSITION OVERVIEW:

Reporting to the Sales Director, we are looking for a highly motivated and detail-oriented Project Sales and Marketing Coordinator to join our team. In this role, you will play a crucial part in a successful launch and ongoing sales and marketing and sales efforts.

ESSENTIAL FUNCTIONS: 

  • Collaborate with the Marketing Director: Actively support the implementation of the marketing strategy by coordinating a variety of marketing campaigns, ensuring that each initiative aligns with the overall project goals.
  • Oversight and Execution of Marketing Initiatives: Provide hands-on management and execution of approved marketing initiatives, ensuring that all campaigns are delivered on time, within scope, and meet the desired impact.
  • Support On-the-Ground Marketing Efforts: Work closely with the project sales team to provide essential support for localized marketing efforts, helping to drive engagement and sales at the project level.
  • Coordinate with Vendors for Campaign Collaterals: Liaise with vendors to ensure the timely production and delivery of high-quality marketing materials, from print to digital assets, that are vital for campaign success.
  • Manage and Track Project Budgets: Assist in the daily management and tracking of project budgets, ensuring that all marketing activities are financially sound and aligned with budgetary constraints.
  • Oversee Social Media, PR, and Content Marketing Vendors: Work with suppliers and vendors specializing in social media, public relations, and content marketing to ensure cohesive and effective communication strategies across all platforms.
  • Coordinate Creative and Media Vendors: Manage relationships with external vendors, including creative agencies, media planners, and PR firms, to ensure that all marketing elements are produced to the highest standard and effectively contribute to the project’s success.
  • Event Planning and Logistics: Plan and manage the logistics of on-site events as required, ensuring that each event is executed flawlessly and enhances the overall marketing efforts of the project.
  • Review Marketing Copy and Materials: Assist in the review and refinement of marketing materials, collateral, and brand communications to ensure consistency, accuracy, and alignment with brand guidelines.
  • Participate in Weekly Meetings: Attend weekly internal team meetings and client meetings, either in-person or via video conference, to stay informed and aligned on project progress and updates. 
  • Manage Onsite Real Estate Sales Gallery and Model Residences: Oversee the daily operations of the sales gallery and model residences, ensuring that they are always presentable, welcoming, and reflective of the property’s brand and quality. This includes coordinating maintenance, setting up displays, and ensuring that the environment is conducive to making a great first impression on potential buyers.
  • Assist with Scheduling and Conducting Tours: Take an active role in scheduling property tours for prospective buyers, ensuring that all appointments are organized efficiently. Provide support during tours by assisting the sales team, addressing client questions, and helping to create a seamless and informative experience for visitors.
  • Support Sales Efforts During Floor Hours and Lead Communication: Participate in covering floor hours at the sales gallery, responding to inbound inquiries from potential buyers, and engaging in proactive outbound lead communication. This includes following up with leads, answering questions, and nurturing relationships to move prospects through the sales funnel.
  • Maintain Sales & Marketing Collateral Inventory: Ensure that all printed sales and marketing materials are fully stocked, up-to-date, and readily available. This includes brochures, property information sheets, and any other materials used to support the sales process.
  • Provide General Office Operations Support: Assist with the day-to-day operations of the sales office, including administrative tasks, managing supplies, and ensuring that the office runs smoothly and efficiently. This support helps create an environment where the sales team can focus on engaging with clients and closing deals.
  • Assist with CRM System Management: Help maintain the CRM system by entering and updating client information, tracking interactions, and generating reports as needed. This ensures that the sales team has accurate and up-to-date data to inform their strategies and follow-up efforts.
  • Offer General Support to the Sales Team: Be a resource for the sales team by providing general assistance as needed. This could include helping with special projects, preparing for client meetings, getting the companies vehicle washed and cleaned or any other tasks that support the team’s efforts to achieve sales targets.
  • Additional Duties as Assigned: Perform other duties or special projects as required to support the overall success of the marketing strategy and project goals.

 

 QUALIFICATION STANDARDS 

  • Bachelor’s Degree: A degree in marketing, communications, business administration, or a related field is preferred.
  • Marketing Experience: 3-5 years of experience in a marketing role, with a strong understanding of both traditional and digital marketing strategies, including social media, PPC, and content marketing.
  • Real Estate Sales License: Having a real estate sales license is an asset but not critical.
  • Strong Communication Skills: Advanced verbal and written communication skills, with the ability to convey ideas clearly and effectively.
  • Adaptability: Ability to quickly adjust to changes in a fast-paced environment.
  • Excellent Interpersonal Skills: Strong ability to build and maintain relationships with clients, colleagues, and stakeholders.
  • Entrepreneurial Spirit: Capable of working independently with a proactive approach, while also being a collaborative team player.
  • Multitasking Ability: Comfortable managing multiple tasks and handling frequent interruptions without losing focus.
  • Writing Proficiency: Strong writing skills, capable of producing high-quality content for various platforms.
  • Technical Proficiency: Experience with the MS Office Suite, including Word, Excel, and PowerPoint.
  • Real Estate Industry Experience: Experience in the real estate industry is considered an asset.
  • Graphic Design Skills: Experience with Adobe Photoshop and/or other graphic design applications is an asset.
  • CRM System Familiarity: Familiarity with CRM systems is a plus.

 

COMPENSATION 

Negotiable based on experience.
